Application Template to Utilize Funds from the DAO Events Budget

The DAO Events Budget for 2025 proposal passed in November 2024.

The below is the Application Template that must be utilized to request to use funding from the DAO Events Budget.

If you wish to utilize this funding, please post a proposal in the ‘Proposals’ category of the forum to ensure the highest visibility possible, following the Application Template. You can click on the ‘Proposals’ category and then create a ‘New Topic’ using the button on the top right hand side. In your proposal, please mention that you wish to utilize funds from the DAO’s Events Budget.

FAQ

I. What types of Events does the Events Budget cover?

The proposal earmarks a budget for events for 2025 and focuses on 2 key categories:

  1. Delegate Gatherings aimed at streamlining operations through in-person meetups such as a delegate retreat (capped at 2 events per year).
  2. Ecosystem Growth Events to foster innovation and community engagement, ideally coinciding with other major crypto conferences (specifically ETHDenver, Bitcoin 2025: Las Vegas, EthCC, among other potential events) at the same location. These events can include, but are not limited to:
    • Virtual hackathons
    • Non-crypto conference presence (RustConf, CES, etc.)
    • In-person hackathons
    • Side events
    • Sponsorships of major events
    • Arbitrum Days around the world (not just EthCC)
    • Educational workshops (Stylus & Orbit)
II. What is the size of the Events Budget?

A total of $1.5M USD has been allocated to this initiative.

III. What is the minimum size of an event to be requested from the Events Budget?

Events with a cost of over $50,000 will be covered under the Events Budget, while those with a cost of under $50,000 should be routed through the Questbook program. The purpose of this proposal is to establish an events strategy for larger initiatives that require substantial funds and active project managers.

IV. What is the process for running events under the Events Budget?

There are two ways in which funds from the Events Budget can be requested for specific events:

A. Events Organizer Directly Proposing Events to Utilize the Events Budget

Here, the event organizer would be directly proposing to organize and run the event themselves, and the funding would be obtained from the Events Budget.

The (recommended) process is as follows:

  1. Events organizer reaches out to Entropy Advisors or the ADPC with the intention to organize an event.
  2. Events organizer fills out application template (found below).
  3. Events organizer posts application on ADPC Events Budget thread here and specifically requests to utilize funding from the Events Budget for their proposed event.
  4. After a minimum 7-day period of discussion on the forum, the events organizer can post a Snapshot vote.
  5. If the Snapshot vote garners at least 3% of the votable token supply with a simple majority For/Abstain, the vote passes.
  6. The requisite funds from the Events Budget are allocated to the events organizer.

B. Events Proposer Utilizing the ADPC to Procure Service Providers to Run the Proposed Event

Here, the events proposer would want a specific type of event organized for the DAO, but would not be organizing and running the event themselves; rather, they would utilize the services of the ADPC to procure service provider to run the event on their behalf once the vote passes on Snapshot, and the funding would be obtained from the Events Budget.

The (recommended) process is as follows:

  1. Events proposer reaches out to Entropy Advisors or the ADPC with their idea for an event.
  2. Events proposer fills out application template (found below).
  3. Events proposer posts application on ADPC Events Budget thread here and specifically requests to utilize funding from the Events Budget for their proposed event, and to utilize the services of the ADPC to procure service provider(s) to run the event.
  4. After a minimum 7-day period of discussion on the forum, the events proposer can post a Snapshot vote.
  5. If the Snapshot vote garners at least 3% of the votable token supply with a simple majority For/Abstain, the vote passes.
  6. The requisite funds from the Events Budget are allocated to the event.
  7. The ADPC, with the help of Entropy Advisors and Disruption Joe, procures service provider(s) to run the event.
  8. The procured service provider organizes and runs the event.
V. What are other important points to know about?
  • The ADPC, Entropy Advisors, and Disruption Joe will closely coordinate with the Arbitrum Foundation and Offchain Labs to help ensure that DAO approved events align and/or don’t conflict with their team’s broader event strategy.
  • Delegate gatherings should be planned in such a way that no two events align too closely with one another on dates, with the exception of delegate offsites which could coincide with an ecosystem growth event at a major crypto conference given the convenience of planning travel arrangements.
  • Each event that passes Snapshot and is approved by the DAO must, post completion of the event, provide a comprehensive post-event impact report to the DAO.

Provide a description of the event you are proposing.

Event Organizer

Outline who the organizer of the event will be, i.e., the Event Proposer themselves or whether the ADPC will be required to procure an events provider to organize and run the event. Please refer to FAQ Question IV here for further details.

Benefits of the Event to Arbitrum

Provide a summary in bullet points (no longer than 300 words) of why the proposed event is beneficial to Arbitrum.

Proposed Budget

Provide a budget in $USD terms.

Budget Breakdown

Provide a detailed breakdown of the proposed budget and how exactly the funds will be used.

Budget Tracking

Provide a detailed explanation of how each element of the proposed budget will be tracked and verified post the completion of the event.

Key Performance Indicators (KPIs)

Provide, in a tabular format, a detailed description of the KPIs the event will aim to achieve and how exactly each KPI will be tracked.

Event Logistics

Provide a detailed description of all the services and logistics required for the event (e.g., a booth, audio-visual equipment, catering, etc.).

Service Providers Required

Provide a list of the service providers required to organize and run the event, along with a description of why each service provider is required.

Support Required

Provide details about any support required from the Arbitrum DAO and / or the ADPC. Examples include support to procure service providers to handle invitation distribution, marketing, etc.

Provide a detailed execution timeline and key milestones assuming the proposal is approved.

Alignment with Arbitrum’s Mission, Vision, and Purpose

Describe how the event aligns with Arbitrum’s Mission, Vision, and Purpose (outlined here).

Post-Event Impact Report

Provide a template of the impact report to be published to the Arbitrum DAO forum post the completion of the event.

Hello! Jumping in here because I saw the first proposal that is using this template and I feel we are missing (or need to expand) one category here:

What is required from ArbitrumDAO besides the funding.

If we are hosting a private event (dinner, breakfast, etc), who will be responsible for the logistics of the invitations for it, and how ArbitrumDAO will handle this part. Not sure if this falls under the category below.

It needs to be clear what else Arbitrum and/or ArbitrumDAO needs to provide (and who would be responsible to manage this) besides the funding, for example:

Social media interaction/promotion with/of the event.
Personnel in the ground (if this is a requirement)
Approvals for branded items

Nothing else would be necessarily required from the DAO besides the funding. If you look at Point IV of the FAQ (What is the process for running events under the Events Budget?), it highlights two ways in which events can run: (1) Events Organizer Directly Proposing Events to Utilize the Events Budget and (2) Events Proposer Utilizing the ADPC to Procure Service Providers to Run the Proposed Event.

If Option 2 is chosen, then the ADPC can be utilized to procure service providers and manage all of the aspects you mentioned here (social media interaction, personnel, etc.). The cost to procure these providers will need to be accounted for in the budget proposed for the event.

The Arbitrum Foundation will be utilizing the full earmarked $400k to subsidise costs related to our plan for ETHDenver. We are evaluating different options including a booth at the main conference, an Arbitrum community IRL get together, and a potential DAO delegate meetup.

Update on RWA Paris Proposal – Moving to Questbook Season 3

After two weeks of discussions on the forum, the RWA Paris team has decided to move the proposal directly to Arbitrum DAO’s Questbook Season 3, considering the timeline constraints.

The revised package will now focus solely on the branding of the RWA stage and tickets for Arbitrum DAO members.

We appreciate all the feedback, questions, and suggestions shared throughout this process. Thank you for your engagement and valuable input!

Additionally, we would be delighted to return for RWA Paris 2026 with a more structured and precise timeline that allows everyone ample time for planning and organization.

so, to clarify, this means that from the $1.5m USD Events budget for 2025, where the passed proposal says the Arbitrum Foundation could get between $250k to $400k USD to participate in 3 main industry events (eth denver, bitcoin 2025 and ethcc), it was somehow decided that the Foundation should get the higher amount of that range, for just one of those industry events?

also, how much of the $1.5m USD is left on the events budget?

best case scenario the questbook season 3 onchain proposal will go live next monday, for the vote to start on thursday 6th of february, and for the vote to end on February 20th (if quorum is achieved fast enough on this onchain proposal) or February 22nd (if quorum has not been achieved on this onchain proposal 2 days before it ends and it’s voting period gets automatically extended).

either way, the money to fund questbook season 3 will only be available after RWA Paris has already happened.

even if you would apply on the first day and immediately get approved and paid, the money would still only be available after your event has passed.

Yes i already discussed with Jojo to do it, and RWA Paris’ CEO is ready to take this risk, because the proposal in the quest book can also be declined.
In waiting, and in collaboration with the foundation, we will add Arbitrum as Sponsor of the RWA Paris stage, and provide to the community tickets to enjoy the event!

Note to All Event Proposers Aiming to Utilize Funds from the DAO Events Budget

We have published the analysis of the Arbitrum DAO Events Survey results on the forum. The Events Survey (16 respondents) aimed to gauge stakeholder sentiment and gather feedback on what events should be organised or funded by the DAO.

As event organisers prepare to submit funding proposals, we want to provide them with guidance on what types of events they should propose. Additionally, the survey results can help potential events organisers understand which events are more likely to receive DAO funding.

For clarity, these results are not meant to provide strict guidelines but rather offer directional guidance to the community. The decision to fund any event ultimately rests with the DAO via governance / voting.

TL;DR of Key Findings

Priority Events for DAO Funding:

  • Educational workshops focusing on Arbitrum technologies (Stylus and Orbit) received the highest priority rating;

  • Delegate gatherings, Arbitrum Days, and hackathons also ranked highly;

  • Event sponsorships received the lowest priority rating.

Priority Outcomes for DAO-Funded Events:

  • Proliferating Arbitrum technology;

  • Onboarding and educating new builders; and

  • Strengthening Arbitrum’s position among Layer 2 solutions.

  • Gaining market share in key geographic regions;

Priority Events for DAO Participation:

  • Ethereum-native events, Web2-focused events, and Emerging Market events were rated as most important for maintaining Arbitrum presence.

Hi Paolo, our marketing team has prioritized EthDenver as our biggest event of the year since there will be multiple Arbitrum activations and Arbitrum side events. This is why the AF requested its full allocation for this event.
